    I often discuss AI with people, sharing their experiences of using it to streamline their businesses. I am also interested in getting feedback on its effectiveness in their specific situations.

    If you, like many others, use AI tools such as Microsoft Copilot or ChatGPT and find yourself thinking, “That’s not quite what I meant,” then read on to discover how you can get better outcomes from your AI tool.

    A sentence I’ve heard a lot recently is “using AI is not the same as using Google,” and what is meant by that is you have to structure your “request” in a subtly different way. The secret to achieving the best results from your chosen AI tool is perfecting the AI prompt. 

    There is a methodology which you can adopt to write effective AI prompts. In this article we will work through using the RATCF method; Role, Audience, Task, Context and Format.

    This simple structure helps you get clearer, more useful, and more creative responses every time. 

    #Why Writing Good AI Prompts Matter

    AI isn’t magic. It works best when it knows exactly what you want. If you give a vague question, you’ll get a vague answer. 

    But if your prompt is clear and detailed, the AI tool can give you vastly improved outcomes. 

    The RATCF template makes that easy. 

    #Define the AI’s Role

    Start by assigning the AI a role. This sets the right tone and point of view straight away. 

    Examples:

    “You are a marketing expert” or “You are a careers adviser”

    When the AI knows its role, it can write with authority and confidence. 

    Tip: Including the role helps the AI stay consistent with your brand voice. 

    #Identify Your Target Audience

    Next, tell the AI who the content is for. The audience shapes everything, from vocabulary to tone. 

    Example: 

    “Your audience is small business owners new to digital marketing.”

    Knowing the audience ensures your content connects with the right people. 

    #Clearly Define the Task

    Now, tell the AI exactly what to do. Do you want it to write, summarise, plan, analyse, or create ideas? 

    Example: 

    “Write a short blog post explaining how to use social media to grow a small business.”

    Vague prompts like “Write something about marketing” often lead to generic answers. Be specific about the goal and outcome. 

    #Add Useful Context to Improve the AI Output

    Context is what helps the AI understand why you’re asking. It adds depth and direction. 

    Example: 

    “I am writing a LinkedIn post to promote my web design services and attract new clients.”

    When you give context, the AI can tailor its response perfectly to your needs. 

    #Choose the Right AI Format for your AI Generated Content

    Finally, tell the AI what form you want the response to take. This helps you get content that’s ready to use. 

    Example: 

    “Write a 200-word blog article with short paragraphs and a friendly tone.”

    By specifying the format, you save time on editing and formatting later. 

    #An Example of a Strong AI Prompt Using the RATCF Template

    Here’s what a full, well-structured prompt looks like: 

    • Role: You are a marketing expert. 
    • Audience: Small business owners with limited online marketing experience. 
    • Task: Write a 200-word blog post on social media basics. 
    • Context: The post will be published on a small business advice website. 
    • Format: Write in a friendly, practical tone with short paragraphs. 

    With this structure, the AI knows exactly what to deliver, which makes your result more focused, relevant, and easy to read. 

    Think of AI as a creative partner, not just a tool. When you give clear, detailed instructions, you’ll get better, faster, and more consistent results. 

    The RATCF method helps you communicate what you want so the AI can deliver exactly what you need, saving you time and improving quality. 

    Next time you open Microsoft Copilot or ChatGPT, try using the RATCF method. You’ll be amazed at how much sharper and more relevant your AI-generated content becomes.
